Executive Assistant

SEATTLE ACADEMY is seeking a team member who will provide anticipatory, professional, responsive and culturally appropriate administrative partnership and support to our Head of School, Senior Leadership Team and Board of Directors. This is an integral role in support of the strategies and activities of our vibrant, innovative educational community in support of our mission of preparing kids for college and life. A successful candidate embraces the SAAS culture and thrives in a high-paced, student-centered environment and can work well independently, as well as, in teams. Confidentiality, being able to exercise sound judgement, ability to effectively communicate with internal and external stakeholders, and to balance projects with day-to-day activities are key to fulfilling this role.

Meeting management: This role prepares agendas, meeting content and presentations; communicates with and coordinates attendees; takes and distributes meeting minutes; arranges venue and supporting amenities; and follows up on progress of meeting action items of Senior Leadership, Senior Admin, Board and Board Committee meetings and others as assigned.

Coordination: Provides calendars management, appointment setting, travel arrangements, conference registration, expense report processing, and general support activities for the team.
Project Support: “Digs in” to research information needed for decision making, initiative and strategic planning activities, reporting, communication and/or presentations.

Communication: Is an active and compassionate listener; is able to navigate complex conversations with a culturally-appropriate tone and solution-oriented manner; drafts written leadership communication and de-escalates situations through a calm, thoughtful demeanor.

Administrative guidance: Oversees the front desk staff; provides leadership in administrative process improvements; supports enhanced use of technology, data and analytics; and mentors/develops those providing administrative support for our school.

In addition, experience of a successful candidate would include:

  •  5 years of experience providing administrative support to executive-level staff and board(s) of directors or a related combination of educational/admin experience required;
  • Experience leading an administrative support staff;
  • Excellence using technology (MS Office, Google apps, and/or presentation software);
  • Demonstrated verbal, visual, written and digital communication experience; and
  • Works well with diverse populations and working styles. Bi/multi-lingual skills are a plus.
